Absolutely! Many directors come to us knowing they want to travel but aren’t sure where to go. Your dedicated EPT Tour Director will learn about your ensemble, travel & economical goals, and preferred travel dates before recommending destinations and creating a fully customized proposal designed specifically for your group.
What is typically included in a tour proposal?
Every EPT itinerary is built from the ground up—never pulled from a template. Your Tour Director will design a personalized proposal based on your educational goals, performance objectives, budget, and travel preferences, ensuring every detail reflects the unique needs of your group.
Your customized proposal will typically include: hotel accommodations, exclusive workshops and masterclasses, optional performance opportunities, group dining, Broadway shows or other professional performances, iconic attractions, behind-the-scenes industry experiences, a dedicated EPT Tour Manager accompanying your group throughout the tour, optional overnight hotel security, and a transportation quote that gives you the flexibility to include or arrange transportation separately.
What impacts the cost of my tour proposal?
Tour pricing depends on destination, travel dates, the number of paying participants/ group size, hotel & restaurant selection, trip length, attractions, workshops, meals, and performance opportunities. Educational Performance Tours works closely with each director to maximize value while maintaining the integrity of a once in a lifetime experience for the group!
Do I qualify for the Give Back Program?
Most qualifying student performance groups are eligible for our Give Back Program. This initiative rewards directors with money donated back to their program to help support future travel and performing arts education! First Time EPT Travelers can take advantage of our Donation Voucher, while recurring groups are automatically enrolled in our Loyalty Program. Our Donation Voucher is valid for Overnight Group Tours only, with a minimum of 25 travelers and 2 night hotel accommodations.
How do payments work?
Planning a student tour should be exciting—not complicated. That’s why EPT offers flexible payment options and customized payment schedules designed around the needs of your group. Each tour typically begins with an initial deposit to secure your reservations, followed by three convenient installment payments before departure. Families can make secure individual payments through our online portal, while schools and organizations may also submit payments by check. Our goal is to make the payment process as seamless and stress-free as the travel experience itself.
Is there an age requirement or a minimum group size for tours?
Educational Performance Tours does not have a minimum age requirement for travelers. However, if your group includes participants under the age of 12, we ask that you notify your Tour Director during the planning process. Some attractions and activities have age restrictions, and we’ll thoughtfully customize your itinerary to ensure every experience is appropriate for your group.
To qualify for group pricing and provide the exceptional value our clients expect, EPT requires a minimum group size of 20 total participants (students and chaperones combined). Groups smaller than 20 may still be accommodated, but customized pricing will apply based on the size and needs of the group.
How far in advance should I start planning?
We recommend beginning the planning process 12–18 months before your desired departure date. Early planning provides the best availability for hotels, performances, workshops, attractions, and transportation while allowing families additional time to budget.
